What is budget-friendly lead tracking software?
Budget-friendly lead tracking software records two things a small team can act on: which campaign produced each lead, and what the deal was worth when it closed. It should be cheap and simple enough to run without a dedicated administrator. Tools like Trakt record each form submission with its source and credit won deal value to it.
Quick start: Start free with Trakt to record each form submission with its source and credit won deal value to it. Or follow the manual steps below.
A lead that arrives as "Website" has already failed the test. The ad, the post, or the QR code that paid for the conversation is gone, and the next budget decision is a guess. The software is there to stop that, not to add another dashboard of sessions.
HubSpot, Salesforce, and Adobe Marketo Engage can hold a deal. They are built for teams that will staff the setup. Their editions and prices change, so this page does not repeat numbers from their sites. Google Analytics 4 is free for a standard property and stops at the session and the conversion event. It has no deal.
What it has to record if revenue is the point
Three fields decide whether the tool is doing the job.
The source, written when the form is submitted. Campaign, medium, and the landing page. If those are typed in later from memory, they will be wrong on the leads that matter.
A deal amount on the won record. A count of form fills treats a $400 lead and a $40,000 lead as the same event. In Trakt the amount is a figure you enter, or your average purchase. The pipeline header totals the deals in each stage.
The same names every time. google and Google are two sources. UTM builder tools compared, including the Google Ads final URL suffix, is how the names get onto the link. Lead tracking is what happens after the click.
Anything else is optional until those three exist. Lead scoring, a second CRM, and a twelve-tab attribution model do not fix a source field that says Website.
What you can run on a small budget
Starter, at $0 on the pricing page, includes one site, up to 3 users, and 500 stored contacts. Website tracking itself is not metered. The plan includes:
- A lead inbox with qualify and disqualify
- A pipeline board
- Campaigns with a UTM link builder, and campaign playbooks
- A form builder, and capture of submissions
- An email when a lead or a deal comes in
No card is required. Paid plans add capacity and a few tools, not a different definition of a lead.
Plus, at $9 a month, adds saved UTM values and click tracking, up to 6 users and 2,500 contacts. Pro, at $19 a month, adds dashboards, the form scanner, a link shortener, Slack, and Google Workspace, up to 12 users and 10,000 contacts. Multi-site plans on the same page are for several domains.
Trakt forms are built with six locked hidden fields: source, medium, campaign, content, term, and id. The tracking snippet fills them at submit time. A submission is still recorded with the source when the form has no hidden fields. UTMs stay in a first-party cookie for 90 days, so a form filled later in that same browser keeps the original campaign.
Won value is credited to that captured source inside Trakt's pipeline. Each campaign row can show its links, its leads, and its won revenue. That is the report that says whether the spend should continue.
Pre-register for Trakt if you want that workspace started for you. The form asks for a work email. Your answers preload the pipeline stages and the source list before you sign in. Nothing on that form is locked.
How it compares with a full suite
| Software | Fits a small team when | Price | Campaign on the closed deal |
|---|---|---|---|
| Trakt | You want a pipeline and the source, and you do not want an admin | Starter $0, Plus $9/month, Pro $19/month, on Trakt's pricing page | Yes, inside Trakt, once the deal is marked won and has a value |
| HubSpot | You want the CRM, email, and ads in one suite and someone will own the properties | On HubSpot's pricing page. A free CRM tier exists. Marketing Hub is paid. | Only after the UTM properties are mapped and the deal keeps them |
| Salesforce | You already have an admin, or you are willing to hire one | On Salesforce's pricing page. Editions differ. | Only if those fields are created and filled. It does not arrive knowing your UTM names. |
| Adobe Marketo Engage | A marketing ops team is running programs | Quoted by Adobe | The program can score the lead. Closed revenue still depends on the CRM it syncs to. |
| Google Analytics 4 | You need sessions and conversion events | Free for a standard property | No. There is no deal amount to put on a campaign. |
The expensive failure is not the subscription. It is renewing ads you cannot tie to a won deal, and slowing follow-up because sales cannot see where the lead came from. A cheaper tool that stores the source beats a suite whose source field is blank.
If you already live in HubSpot or Salesforce, you can keep it. Map the hidden fields into it. Trakt will not sync that deal for you. Teams that do not have a CRM yet can use the pipeline on Starter and skip the suite until the volume justifies it.
What this will not do
A few limits are worth stating before you plan around them.
Trakt does not copy won deals into Salesforce or HubSpot. The credit you see is on the lead in Trakt. An outside CRM gets the source only if the form fields are mapped.
It does not connect a click on a phone to a form on a laptop. The cookie is the browser that clicked. Some leads will stay Direct. A "how did you hear about us?" field covers a few of those. Why leads show up as Direct is the longer list of causes.
It does not invent a deal amount. Someone marks the lead won and enters a value, or you use your average purchase. A pipeline full of blank amounts cannot answer which campaign made money.
The form scanner, Slack, and the link shortener are on Pro, not on the free plan. Starter still captures submissions from forms you build in Trakt, and it still emails you when a lead arrives.
Where to start
Pick one campaign you are paying for this month. Not the whole account.
- Build the link in Trakt's UTM builder, or set the Google Ads final URL suffix if the spend is Google Ads. One spelling of the source.
- Submit the form with your own email.
- Open the lead. The source should be the campaign, not Website.
- Mark a real deal won and put the amount on it. That amount should sit on the same source.
Do the rest of the channels after one lead survives that path. Until it does, more software will not make the report true.
Frequently asked questions
What is budget-friendly lead tracking software?
Budget-friendly lead tracking software records which campaign produced a lead and what the deal was worth when it closed, at a price a small team can pay without hiring an ops person. Trakt's Starter plan is $0 and includes a lead inbox, a pipeline, and a UTM link builder. Plus is $9 a month and Pro is $19 a month, as listed on Trakt's pricing page. A full CRM suite can do more, and it costs more in software and in setup time.
Do I need HubSpot or Salesforce to track leads?
No. You need a place that stores the lead, the campaign, and the won amount together. Trakt's pipeline does that on the free plan. If you already run HubSpot or Salesforce, keep it and map the UTM fields into it. Trakt does not sync the deal across for you. Google Analytics shows the session. It does not store a deal amount.
What does Trakt's free plan include?
Starter is free, with no card, for one site, up to 3 users, and 500 stored contacts. It includes website visitor tracking, a lead inbox with qualify and disqualify, a pipeline board, campaigns with a UTM link builder, campaign playbooks, a form builder, submission capture, and email notifications for leads and deals. Saved UTM values and click tracking start on Plus at $9 a month. The form scanner, Slack, and the link shortener start on Pro at $19 a month.
Can it show which campaign made money?
Yes, inside Trakt, when two things are true. The form submission kept the campaign, and the won lead has a value. That value is credited to the source captured at submission. A campaign can then show leads and won revenue on the same row. The figure is only as good as the amounts you enter. Blank deal values produce a blank revenue report.
Will it track a lead who comes back on another device?
Not across devices. Trakt keeps the UTMs in a first-party cookie for 90 days in the browser that clicked. A form filled later in that browser still has the campaign. A different phone or laptop has none. Those leads can show as Direct. The ones that stay on the original browser are the ones you can tie to revenue without asking the buyer to remember the ad.
